We are seeking bids for a school safety grant we have been awarded for the Middle/High School and Elementary School comprised of:

Camera Systems

Intercom Systems

The district has developed a scoring matrix for this bid based on: Price 50%

On-going Costs - 10%

Experience with COPS grant 20%

Comprehensive solution meeting all mandatory specifications and terms and conditions 10% Certifications and experience with the technology bid - 10%

Bidders must be familiar with the site and have completed Google Earth reviews along with floor plans to ensure the scope of work at the physical plant / school is fully known. Exceptions may be at the expense of the bidder based on the school's determination. Virtual or on-site meetings must be held to demonstrate features and review security solutions and proposals prior to bidding date.

Bids submission: Must be submitted through the superintendent office at 500 North 4th Street, Hayti, MO 63851

Bid opening: January 15th 2025.

Bidder Corporate requirements

Bidder must include sufficient documentation regarding each of the bid requirements listed below, as well as documentation that the products and services proposed meet or exceed the specifications of those indicated in the bid spreadsheet.

Minimum 4 years’ experience designing and installing school safety technology through the COPS grant

Certified by each major manufacturer represented in the bid - Camera, phone, and intercom systems

Proposal includes 3yr service and support for all three systems.

Full disclosure of any on-going required costs after three years

Bid must include Service and support center for three years

Systems to be shipped to the local vendor service center for configuration and testing/ 48 hour "burn in" before being brought to Hayti School District.

Work must be performed at hours mutually agreeable to the district and the bidder, and the project must be completed within 240 calendar days (barring natural disasters or delays caused by the district) from the commencement of the on-site installation.

On-going grant support must be provided throughout the three-year term to answer questions, seek and receive reimbursements, provide required grant reports, etc.

Invoicing must match the bid spreadsheet provided to ensure timely reimbursement unless agreed by school before invoicing if any exceptions occur.

The camera system must be an on-premises systems with remote access from computers and mobile devices. There must be no cloud storage fees. The cameras must be covered with a one-time life-time license fee, no on-going licenses.

The intercom system must be IP based and have as an option for Multi Color displays with 5" letters, double sided with 2 speakers built in (each side). Messaging must be programmable and NOT fixed.
